My product data is in ERP. Why do you need PIM at all?

Many companies confuse PIM with ERP. Both manage product data, but from different angles. Once you know the difference, you’ll understand why you might need both.

What ERP manages

ERP (Enterprise Resource Planning) is the backbone of your business operations. It manages inventory, pricing, orders, invoices and accounting. ERP knows how much product is in stock and what it costs. But entering and managing product information is inconvenient in ERP, and it is also difficult to give access to external data entrants there.

What PIM manages

PIM manages everything the customer sees and reads about the product: descriptions, translations, images, videos, technical data, certificates, user manuals. Through PIM, you can orchestrate the sending of information to different channels — what goes to the e-shop, what goes to the B2B self-service environment, what goes to the app, what goes to advertising materials.

How do they work together?

The process of creating a new product can start from PIM, ERP, and in some cases (e.g. external assortment) even from the e-store. ERP and PIM do not compete — they complement each other. ERP says “there are 47 in stock at price X”, PIM says “the description of this product is ready in three languages ​​and the images have passed quality control”. Together they form a data stream where each system does what it was designed to do.

In PIM, you can also get a good overview of how comprehensively the product information of a product group is filled, and accordingly, the employee also has time to work on updating the database on an ongoing basis. Some attributes are critical and may also be in ERP.

The campaign is approaching, but several hundred products are still waiting to be entered into the information system in Excel. Product enrichers are able to enter 20-30 products in one day, and the whole team comes to the rescue by entering the data in the e-store or ERP by filling in the fields one by one. Customer service complains that customers are dissatisfied with unclear or incomplete product descriptions. When do you NOT need a PIM — the honest answer

Let’s be honest: PIM is not for every business. If you have:

  • Static smaller product catalog and you only sell in one channel (e.g. only your e-shop)
  • Monolingual product information — Estonian market, Estonian language, one e-shop
  • Simple product structure — few attributes, no variations or bundles

…then the built-in product management of the e-store or entering product information and importing from ERP is sufficient.

How PIM Implementation Works — Stages and Timeline

The implementation of PIM does not have to be a long mega-project, but it can be divided into logical steps and let the team start using it already in the implementation phase. A typical schedule is 2-4 months, depending on the volume of your product catalog and the number of integrations. At the same time, you must be ready to assign people responsible for different data within the company.

Stage 1 — Analysis and data audit (2-3 weeks)

We map the current situation of your product information: where the data is located, in what format, who manages it. We define the data model and attribute structure. At the end of this stage, you know exactly the AS IS and TO BE data structure and product information processes.

Phase 2 — PIM setup (3-4 weeks)

We install and configure the PIM platform (Akeneo, inRiver, etc.). We create a category tree, attribute groups and user roles. We create conditions for importing existing data and the team can start enriching the data.

Stage 3 — Integrations (3-4 weeks)

Frequently asked questions

What is the difference between PIM and ERP in the context of product information?

ERP manages transaction data: inventory, prices, orders and invoices, and at what price. PIM manages marketing data: product descriptions, images, translations and attributes and describes the product in more detail. These systems complement each other — ERP tells what is in stock, PIM tells how to present it to the customer.

How many products do you need to have for PIM to pay for itself?

Based on our experience, a reasonable threshold is about 5,000 products under normal conditions or if the assortment changes quickly, especially if you sell in several channels or in several languages. For a smaller number of products and a single sales channel, Magento’s built-in product management is usually sufficient.

How long does it take to implement a PIM system?

A typical implementation takes 2-4 months. It includes analysis, PIM setup, integration building and testing. The schedule depends on the volume of the product catalog and the number of systems to be integrated.

Will PIM replace our ERP?

For smaller, simpler and static catalogs, ERP or even an e-store can play the role of PIM. PIM and ERP are different systems that fulfill different roles. PIM doesn’t manage inventory or invoices — it manages product descriptions, images, and multilingual content. The best result comes from the two playing together, not replacing each other.

Can artificial intelligence be used in PIM?

PIM can be integrated with various AI solutions to speed up the enrichment of product information. In this case, PIM would act as a product information orchestration and quality control environment, and the product information inputter would be the product information moderator.
